This policy explains how Camilla Impact CIC manages donation refunds, chargebacks and related disputes, in line with UK law and good governance practice.
1) General Principle (Non-Refundable). Donations to Camilla Impact CIC are generally non-refundable. We may consider a refund only where required by law or in exceptional cases (e.g. demonstrable payment error, duplicate transactions).
2) Bank Transfers (BACS / Faster Payments). Bank transfers are normally irreversible once executed. If you believe a transfer was made in error, please contact us promptly so we can liaise with our bank. Refunds cannot be guaranteed and depend on banking rules and timelines. 3) Card Payments (Stripe). Card donations are processed securely via Stripe. Where Strong Customer Authentication (3D Secure) is completed, liability for unauthorised use may lie with the card issuer. If you dispute a donation, please contact us before raising a chargeback.
4) Third-Party Platforms. Where donations are made via third-party platforms, their dispute timelines and processes may apply. We will cooperate with platform reviews.
5) High-Value Donations & AML. High-value donations may be subject to routine banking checks (KYC/AML). We may request information to verify the lawful source of funds before allocation. Refusal to provide reasonable information may result in holding or returning funds as required by law.
6) Mistaken Payments & Duplicates. If you believe you donated in error or duplicated a payment, please notify us within 14 days with details (date, amount, method, last four digits of card, or proof of transfer). We will assess and respond promptly.
7) Data, Evidence & Timelines. We retain donation records (including consent logs and technical metadata) for up to 6 years for statutory purposes. Please allow sufficient time for bank or platform investigation before a final outcome is reached. See our Privacy Notice for more details.
8) Gift Aid. Donations to a Community Interest Company (CIC) are not eligible for Gift Aid.
